Preliminary steps for managing the collection of Membership fees:
- The Client CRM and their communication choice: Provide an email address.
- Management of items and prices for Subscriptions and Lockers.

Steps to Perform:
- Click on the Finances module.
- Click on Invoices.
- Click on Send Quotes.
- A small window appears, click OK.
- Select all clients or the desired one using the tick boxes.
- The number of selected persons is counted in the upper right.
- Click Next
- Choose the date of the subscription
- Click Next
- A window appears: "All Quotes will now be generated. This may take some time."
- Click OK
Important: Do not close the module. If closed or internet cut, invoices will still generate. Contact support to delete them if needed.
You are now on the list of people whose contributions will be sent.
- Click "details" at the end of the line to view detailed subscription quote information
Optional: You can print a report listing your players with their subscriptions. If needed, click Cancel to stop and update information.
- Click Next to continue
Important: You can choose to edit/send subscription calls or cancel to review members. Canceling will delete all created invoices.
- Modify the header and footer if necessary
- Choose the desired report
- Click Next
- Select an email or create a new template
If creating a new template:
- Name the template
- Modify the content
- Save and exit
- Depending on client CRM preferences, subscriptions are sent by email or printed. Clients with both preferences appear in both categories.
Optional: You can exit the module without sending/printing, and members won't be notified.
- Click Exit
Conclusion: Subscription calls are prepared and sent. Clicking "Exit" will automatically cancel generated invoices. Allow some time for deletion if many subscriptions were processed.
To check sent emails:
- Access the client file
- Go to the “Activity” tab, then “Activity Log” and “Overview”
- The created email appears with an attachment of the subscription call.
